Understanding the process automation landscape – InfoWorld

In 2015, Deutsche Telekom started to apply robotic process automation (RPA), one of many tools in the whole process automation space. Over time the company developed an army of more than 2,500 RPA bots in a huge success story. But they also had to learn that even if RPA has process automation in its name, it does not really automate processes, but tasks.

This is a common misunderstanding that is rooted in the complexity of the process automation landscape, where tool categories are multidimensional and difficult to capture. In this article I will answer the question I get asked almost every day (what is process automation?) and provide an overview of the process automation space.

For the sake of brevity, I will narrow the scope of process automation to the following:

Now, there are two very different types of digital or integration processes:

There is some gray area in between these two categories when you customize your standard software. But companies have become more and more cautious about doing this because of bad experiences in the past.

The decision needs to be made separately for every process you have in the company. And please note: There is no right or wrong decision, except that your choice should reflect your business strategy. This article will focus on tailor-made processes.

Tailor-made processes involve building software for process automation. This is software to build software and can be roughly categorized in terms of two dimensions (the nature of the tools, and the nature of the automation), as illustrated in the figure below:

With these two dimensions, you can sort tools into the four major buckets described in the next sections.

Typical examples of low-code task automation include application integration tools and RPA:

Low-code task automation tools are great for solving simple integration problems in isolation and help to remove manual integration work, such as copying data over from system A to system B. The immediate business value is the reason that RPA is such a huge success.

However, the automation scope must be simple enough. And note that resulting solutions are often untested, naive, and hard to maintain. Many solutions focus on the happy case and forget exceptional situations, which then hit unexpectedly in production, often going unnoticed. This can make the solutions brittle.

Automating single tasks in a developer-friendly way typically means leveraging not only software development but also the following:

In contrast to low-code solutions, developer-friendly solutions require software developers to be involved. On the other hand, these developers are generally very productive, as they can work in the stack known to them. Also, the resulting solution is typically more stable and can solve more complex problems.

Task automation tools do not implement business process flows. However, a series of RPA bots, integration tasks, or event subscriptions might form a logical chain that implements a business process. This comes with two challenges. First, the process flow does not have its own persistence, making it hard to determine the current state of any instance. Second, the control flow logic is nowhere visible, making these architectures hard to understand and maintain. (This is further described in my talk, Complex event flows in distributed systems.)

There are two categories of tools that focus on providing visibility into these chains of tasks:

Process automation tools automate the control flow of multi-step processes. Their focus is less on the single task and more on the interplay between tasks. Processes are typically long-running in nature, which leads to their own requirements for the tool (persistence, operations tooling, etc).

Low-code tools aim to allow non-developers to implement these processes. Typical tool categories include the following:

Some of these tools can really help to automate simple processes. If you are a startup, you might get along with a typical set of SaaS applications and then connect them using iPaaS solutions sufficiently. But these approaches fall short on complex business processes or integration scenarios.

What I have regularly found is that low-code products do not deliver on their promise and less tech-savvy citizen developers cannot implement core processes themselves. As a result, companies have to revert back to their IT departments and ask them to assign professional software developers to finish the job, which in turn are not productive with proprietary low-code stacks.

Industrial Automation ("IA") business finished the third quarter with revenue and new contracts at $67.5 million and $106.7 million, representing 97.1% and 68.7% YOY growth, respectively. For the first nine months of the 2021 fiscal year, IA revenue and new contracts achieved 44.1% and 34.0% YOY growth, respectively.

Rail business finished the quarter with revenue and new contractsat $30.7 million and $15.7 million, recording 7.0% YOY growth and 215.2% YOY growth, respectively. For the first nine months of the 2021 fiscal year, rail business revenue and new contracts showed a 7.5% YOY decrease and 10.2% YOY growth, respectively.

Education CISO Discusses Zero Trust, Automation Going Hand-in-Hand – MeriTalk

Education Department CISO Steven Hernandez joined MeriTalks CDM Central: the Age of the Cyber Defenders virtual conference on May 12 to discuss how the Continuous Diagnostics and Mitigation (CDM) program and automation are impacting the agency.

Were aggressive and excited adopters of zero trust architecture and when we look at the zero trust architecture, we cannot look at that without thinking about how are we leveraging automation, and how are we leveraging the capabilities that CDM is already delivering and will deliver as part of that service delivery around zero trust architectures, said Hernandez.

Two components that Hernandez said the Education Department is looking at include the concept of least functionality, least privilege, and collecting great data from CDM and other places. He said the agency would like an analyst to focus more on the data and the impact, and less time on the repeatable action of analysis.

Thats really what were focused on and we see that as the sweet spot for automation in our enterprise, said Hernandez.

Hernandez added that when we talk about AI and machine learning, what were really talking about is can we take just oceans of information? And thats whats interesting, thats changed for us five years ago, 10 years ago we didnt have enough information, but now we have too much information. And how can we use technologies like automated machine learning and machine learning to start to understand what does normal look like in all of these recent breaches?

Using the SolarWinds Orion breach as an example, Hernandez explained that its important to make sure the agency is understanding behavior and making sure a system is behaving as it should. Machine learning can be a resource to understand what does normal look like or what should normal look like, he said.

For the next iteration of CDM, Hernandez said the agency is starting to talk about Secure Access Service Edge (SASE) and where that intersects with CDM. Additionally, identity access management will play a larger role in the next iteration of CDM, according to Hernandez, who said, if we cant identify with great assurance authorized individuals, authorized services, and what level of authorization they have its going be really hard to do some of the other more advanced pieces of CDM, until we get the foundational pieces.

CIP Safety Simplifies Wiring of Automation Systems – Assembly Magazine

When configuring automated assembly lines, engineers must protect workers from dangerous moving equipment. No one should lose a finger to a press or get clocked by a fast-moving robot arm.

For simple applications, hard-wired systems with safety relays are sufficient. However, as the system grows to include more inputs and outputs, wiring becomes expensive and difficult to troubleshoot. Diagnostics are limited. If new functionality is needed, these systems require significant rewiring and new validation efforts. Hard-wired systems also limit the ability of engineers to create complex safety systems, such as multiple safety zones around a collaborative robot.

Fortunately, its possible to provide safety functions over a standard communication network, such as EtherNet/IP, an industrial network protocol that adapts the Common Industrial Protocol (CIP) to standard Ethernet.

Because CIP exists solely in the application layer of the OSI and TCP models, its easy to add high-integrity safety services and diagnostics without requiring special communications hardware. This leverages existing communications infrastructure and helps reduce life-cycle costs. This enhanced protocol is called CIP Safety, and it can co-exist with other communication protocols, like CIP Motion and CIP Security.

CIP Safety provides fail-safe communication between nodes, such as safety I/O blocks, safety interlock switches, safety light curtains and safety PLCs in safety applications up to Safety Integrity Level (SIL) 3, pursuant to IEC 61508 standards.

Safety application coverage in CIP provides the ability to mix safety devices and standard devices on the same network or wire for seamless integration and increased flexibility. Safety data in the device is packed into the CIP Safety protocol, which resides inside an Ethernet IP packet, which becomes an Ethernet frame. Since making a safety-rated network would be impractical, the CIP Safety protocol leverages the black channel principle, putting the intelligence in the end-devices instead of the network hardware. The end-devices perform the diagnostics on the CIP Safety protocol to detect each type of error that could occur in the network, so the device can still go to a safe state when an error occurs.

EtherNet/IP and CIP are managed by ODVA Inc., a global trade and standards development organization with more than 300 corporate members, including some of the worlds leading industrial automation companies.

Clearing the fog around AP automation. Can it really save you cash and drive business value? – Finextra

Accounts payable (AP) automation is hot right now a simple search for AP automationreturns over 80 million results. In fact, arecent report identified that for many, especially in the enterprise space, automating and optimising procure to pay processes has become their highest, near term priority. Surprised? You should not be. The pandemic threw many core business processes, like payments, into disarray, as teams were unable to get into the office and follow their existing, often manual processes, so the need for change and improvement accelerated into focus and to the top of our to do lists.

So, here is a question or two for you is it time for you to automate yourAP function? Will it help? How can you be sure if any transformation project will really drive business value? Can you expect a suitable return on your investment? To help answer these important questions, lets break down some of key claims AP automation evangelists often make; identify some of the value drivers for many AP automation project; and pose the questions you should be asking yourself, and your platform provider, to ensure that you are on the right track to achieve a return on investment.

AP automation allows you to go completely digital you need never deal with a paper invoice again! Well, this sounds perfect, especially if your accounts team is working remotely. But, in truth, going 100% paper free is reliant on your suppliers being helpful, compliant, and joining you on your digital journey. AP automation helps to prevent fraud. Invoice fraud is a growing issue across the globe with scammers working on very sophisticated ways to intercept invoices and manipulate them. Digital invoice processing and accounts payable automation claims to solve this problem, but does it? Lets take a look at how most platforms process and check invoices:

All the above sounds great and will certainly keep you well covered against fraud, if we are only talking about reducing the risk of duplicate payments and stopping payments to suppliers that do not exist in your system. But if you ran the type of scam through this same process where the invoice is intercepted before it gets to you and the bank account details are changed it would not get picked up.

When invoice processing is done correctly, data verification of invoice data can completely mitigate the risk of invoice fraud. You need to make sure you choose a platform that can perform the following invoice data verification checks:

AP automation will improve accuracy and reduce the level of manual work required.This is a commonly held assumption, and the key claim that is typically sold to organisations by AP service providers. Amongst claims that you can ultimately reduce the headcount of your AP team by investing in such and such technology, or that with a touchless accounts payable solution you will mitigate expensive mistakes and dont need as many resources checking data entry.

In fact, most AP platforms use optical character recognition to read your invoices. Most OCR powered AP platforms can, at most, promise accuracy rates of 90%. Which sounds great, right? But lets consider for a minute, what that really means. A 90% accuracy rate means that 90% of the fields that are captured on any given invoice are correct. Not that 90% of invoices are captured correctly. So, if you are reading / capturing a conservative 10 fields on each individual invoice (supplier name, ABN, gross sum, net sum, tax amount, reference person, invoice date, invoice currency, invoice number and bill to name) then this means that one in ten of those fields will need to be manually corrected. Not so good. Add to this the fact that manual entry of invoice data currently accounts for 3.6% of errors made on invoices (AP Association Facts and Statistics). You are still, or at least should be, spending a lot of time manually checking each invoice and correcting data.

Here are some key questions to ask your provider before you engage their services:

AP Automation drives greater control over how your invoices are processed. Ensuring that invoices are not missed, lost, payments delayed, and that your approval policies are adhered to.This may be true; however, any level of control is driven by the approval and exception workflows that exist in your system. Many (54%) businesses still see invoices being sent to the wrong place (AP Association Facts and Statistics); either, directly to individuals, rather than an accounts payable address; or to old and out of date email addresses. Which often results in lost or untraceable invoices, late payments, and relies on individuals finding those invoices and uploading them into the correct systems. A suppliers bank account details often need to be validated against a supplier master list manually. A fit for purpose AP Automation solution should have baked in KYC processes, which eliminate the need for any validations, or any possibility for an invoice originating from a fraudulent sender.

Unsurprisingly many businesses find themselves in a situation where silver-bullet technology cannot fix their bad processes.

To increase your control over how your invoices are processed and to ensure that the correct policies are being adhered to,you need have a clear delegation of authority and thought through, rule-based, invoice routing, approval process. You should use the opportunity to automate any process as an opportunity to apply best practice to those processes. Start by asking your provider the following questions:

So, finally, is AP Automation worthwhile? Absolutely yes. But, as I have highlighted, it is important that you align the right technology with the right processes and that your teams and suppliers all realise the real business benefits of AP automation. Despite the issues I have identified in this piece, AP is one of the easiest areas of your business to automate, with new technologies making the data capture, validation, and workflow much easier. With 72% of organisations spending as much as 520 hours per year on manual accounts payable tasks the opportunity to drive real time cost savings is huge.
